Invoice Template (Printable)

Fill in a clean invoice with line items, discount, and tax — totals calculate live — then print it or save it as a PDF. Nothing is uploaded.

A freelancer-friendly invoice you complete right in the browser: your details, the client, invoice number and dates, and as many line items as you need. The math is done properly — each line rounds to cents, any discount comes off before tax — and the printable version is a tidy black-on-white document.

Line items

Totals update live: discount comes off the subtotal first, then tax is charged on the discounted amount. Nothing is uploaded — the invoice exists only in your browser until you print or save it as a PDF.

How to use this calculator

  1. Enter who the invoice is from and who it is billed to, plus the invoice number and dates.
  2. Add line items with quantities and rates; add or remove rows as needed.
  3. Set a discount and/or tax percentage if they apply — totals update live.
  4. Click Print Invoice and print, or choose Save as PDF in the print dialog.

The formula

Line total = quantity x rate (rounded to cents). Subtotal = sum of lines. Total = (subtotal - discount) x (1 + tax rate), because tax applies after the discount.

Worked example

Two hours of design work at $150 plus a $75 setup fee gives a subtotal of $375.00. At 8% tax the tax is $30.00, and the total due prints as $405.00 — matching the live totals as you type.

Frequently Asked Questions

How are the totals calculated?

Each line total is quantity x rate, rounded to cents. The subtotal is the sum of the lines. A discount percentage comes off the subtotal first, and tax is then charged on the discounted amount — the standard order used by accounting software.

Can I save the invoice as a PDF?

Yes: click Print and choose Save as PDF (or Microsoft Print to PDF) as the destination in the print dialog. Only the invoice document prints — the editing controls stay on screen.

Is my invoice data stored anywhere?

No. Everything is typed and calculated in your browser tab; nothing is sent to a server or saved. If you close the tab without printing or saving to PDF, the invoice is gone.

What tax rate should I enter?

The rate that applies to your sale — for US sales tax that is your state and local combined rate, and for VAT/GST your standard rate. The field accepts decimals like 8.25. If your work is not taxable, leave it at 0.

How do I add more line items?

Click "+ Add line item" for another row, and the x at the end of a row removes it. Rows with no rate simply total zero, so spare rows never distort the amount due.
